RESIDENT MANAGER FOR NEW RENTAL BUILDING, VICTORIA

General Job Description:

Reporting to the Senior Property Manager the Resident Manager (or couple) is responsible for the oversight and rental procedures of the rental units, building and property. As well as landscaping, suite cleaning, repairs and maintenance of in suite and common areas, advertising, acquiring applications from potential tenants, applying established criteria for tenant qualification, renting apartments, overseeing of move-ins/move-outs, suite inspections, supervising trades retained by the Management Company and generally are responsible for the enforcement of the Residential Tenancy Act, the Residential Tenancy Agreements, and Rules and Regulations of the Rental Building and off-site investor units. The Resident Manager will ensure that all building operations are conducted in a respectful, responsible and customer service oriented manner, ensuring that all decisions and actions comply with the relevant legislation, policies and procedures.


The Property Manager and Resident Manager responsibilities also include but not limited to coordinating property maintenance, investigating and resolving Resident complaints and issues, regulating parking, collecting fees for rental payments & security deposits, bank deposits, recording payments, issuing vacancy reports on a bi-monthly basis to the Senior Property Manager, programming access cards and fobs, preparing reports/notices, and providing overall supervision of the Rental Buildings and off-site investor units.

  • Investigating and resolving Resident complaints and issues.
  • Issuing parking decals and regulating parking.
  • Collecting fees and rental payments.
  • Bank deposits.
  • Recording all payments.
  • Updating the rent roll, storage locker assignments, parking stall assignments. These documents to be sent to the head office accounting department monthly.
  • Providing on a monthly basis all new tenant applications, tenant leases and condition move-in reports for all new tenants and condition move-out reports for all vacating tenants.
  • Issuing vacancy reports on a weekly basis to the Senior Property Manager.
  • Programming cards and fobs.
  • Preparing necessary reports & notices.
  • Providing overall supervision of the Rental Buildings.
  • Overseeing the efficient operation of the Rental Buildings.
  • Advertising and leasing suites that are under notice to vacate or vacant.
  • Walking tenant through the application process and running the applicable credit checks and forwarding to Management for approval.
  • Organizing all paperwork applicable to tenancies including tenancy agreement and addendums for signing.
  • Conducting condition inspection reports with new Residents prior to move in.
  • Conducting condition inspection reports with vacating Residents after move out.
  • Cleaning and suite preparation for new tenants with costs charged back to move out Tenant (if applicable).
  • Responsible to maintain all exterior property landscaping as needed and required.
  • Responsible for all in suite repairs within ability and / or organizing repairs and maintenance as needed and approved or directed by the Senior Property Manager.
  • Responsible for common area repairs within ability and/or organizing repairs and maintenance as needed and approved or directed by the Senior Property Manager.
  • Filing for dispute resolution and direct requests through the Residential Tenancy Branch as necessary. Including attending hearings and enforcing orders or judgements.
  • Service of all documents and correspondence served to Residents.
  • Coordinating emergency and regular preventative maintenance programs and repairs.
  • Acquiring quotations and meeting / supervising sub trades as required.
  • Responding to noise complaints and emergency calls (24 hours per day).
  • Adjusting outside lights as needed.
  • Monitoring building for any fire regulation violations.
  • Monitoring building for any Tenancy Agreement or rule and regulation violations.
  • Security checks consisting of outside underground and stairwell patrols.
  • Oversee any workmen while on the premises.
  • Purchase and replace caretaker supplies as necessary.
  • Snow removal and salting as needed to ensure safety.
  • Other related duties as required by the Senior Property Manager.
